Terms and Conditions

Membership

It is a requirement that all gymnasts are members of British Gymnastics to ensure that they are insured to take part in our sessions.

Your British Gymnastics Membership number will be required for your initial application to Back 2 Back Gymnastics. It is your responsibility to manage your British Gymnastics Membership to ensure that you are covered to take part in classes. Back 2 Back cannot do this on your behalf due to Data Protection Legislation.

If any gymnasts have any disability, medical conditions or additional needs, please ensure that this is recorded in your notes at the point of booking.

Please ensure that your contact details are kept up to date on Glofox as they will be used to contact parents / carers in the case of an emergency and for all club communication, including renewal.

All details pertaining to your child and your booking will be held securely on the Glofox system in compliance with data protection legislation. Your details will not be shared by Back 2 Back Gymnastics Club with any third parties.

 

Payments

Class payments are paid monthly via direct debit through the Glofox system.

It is important that you maintain this payment to secure your class place. If your direct debit does not go through another attempt to collect payment will be made within 2-3 working days. If the payment cannot be taken, Glofox will remove you from the register and the place will automatically be offered to those registered on our waiting list.

Your monthly payment has been pro-rated over a 12-month period beginning in September. Continual payment is required to secure your class place.  It has also been calculated to include a 2 week break over Christmas and Easter and 4 weeks over the Summer. Classes will run as normal through the school half-term holidays.

Our policy is that refunds will not be given. If you are unable to attend your class, catch up sessions cannot be offered due to the need to comply with our gymnast to coach ratios.

To cancel your membership your direct debit instruction should be cancelled via email rather than via your bank to ensure that membership is terminated correctly.

 

Class cancellations

We reserve the right to cancel a class on the rare occasion that emergency circumstances arise – For example, inclement weather, or due to guidelines issued by the government or British Gymnastics. In these circumstances, refunds will not be given.

If we experience a further pandemic situation, we will replace gymnastics classes with online sessions as we have done previously. You will be notified by email if this situation arises and provided with the options to access material.

If the length of time exceeds a 2 month period, we will reassess and consider reducing fees or offering holiday club make up sessions when we are able to run classes as usual. All communication will be sent via email with updates on our website and Facebook page.

 

Safeguarding

We have a duty of care to all our members and a responsibility to report any concerns or incidents that are brought to the attention of coaches and / or staff to the Local Authority and British Gymnastics.

We have a club Welfare Officer in the gym during every session. If you have any concerns, they can be contacted at the beginning or end of each hourly session as it may be that they cannot leave their group unattended mid-session if there isn’t another coach to cover them.

If your concern does not require immediate action, and / or you prefer not to speak in the gym, please contact us via email with any details you wish to share.

First Aid trained coaches are present within every session. Any accidents / injuries are recorded, and parents / carers notified, either at the time of the accident or at the conclusion of the session depending on the individual circumstances.

Classes

Gymnasts and / or parents must inform the coach of any injuries or illnesses they may have before the warm-up begins.

Please ensure that you arrive in time for your class to ensure that gymnasts get the most of out of their class and that they can complete the warm-up.

If gymnasts arrive more than ten minutes late for their class, they will be unable to take part on the grounds of health and safety – the time will be judged by the gym clock.

Parents or carers of children under the age of 5 years of age should remain in the building for the duration of the session. Parents of older children should ensure that arrive in plenty of time to collect their children at the end of their class.

Gymnasts must remain with coaches at the conclusion of the session until collected by their parent or carer. Children under the age of 16 will not be allowed to leave the gym until collected by a parent or carer unless a consent is signed prior to the session – copies can be requested from the gym or via email.

 

Safety

To ensure the safety of gymnasts, please ensure that long hair is always tied back. Gymnasts will be unable to take part in their session if hair is not tied up prior to the commencement of the session.

Jewellery – coaches are not permitted to remove any jewellery from gymnasts. Please ensure that all jewellery is removed prior to the start of the session (including watches). Gymnasts will be unable to take part in the session if jewellery is not removed

Dress code – Gymnasts should wear appropriate clothing for the session eg. leotard or a t-shirt with leggings or shorts. Crop tops are not appropriate.

Our club leotard and t-shirts are available to purchase via the links on our website, but you are not obliged to purchase these items and it is your choice. Bare feet are required in all classes. Outdoor shoes are to be removed and placed by the gym door and are not to be worn in the gym.

Photography by gymnasts, parents or carers, is not permitted within the gym. This is to avoid any distraction to the participants that could lead to injury and to comply with safeguarding rules set by British Gymnastics. On occasion a coach may take photos within the session on club devices, and we may use some images on social media. Please indicate if you do not consent to this when you book your place by sending an email to info@back2backgymnastics.co.uk

In addition, we request that gymnasts do not bring personal mobile phones into the gym. If they are brought into the gym, they will not be allowed to be used and gymnasts will be asked to keep them on silent (or switched off) and securely in closed bags.

 

Parking

There are car parking spaces outside our premises that are to be used between 08:30-16:30. Please be respectful to our neighbours by parking considerately in these areas during these hours. During the evening you will be able to park outside the adjacent units and the large car park next to Dunoon. Please be mindful and aware of ALL children entering and exiting the building and moving through the car park area especially during the darker evenings and busy times.

 

Gym rules

Encouragement should be given to gymnasts to learn the rules of the gym and the importance of abiding with them.

Be prepared – Be dressed appropriately and be prepared to listen and learn

Be prompt – Be at the gym in time and ready for the start of your session

Be polite – Be respectful to your coach and the equipment – encourage the efforts of your class mates

Be productive – Take advice from your coach and follow their instructions to improve and stay safe

Be positive – Try your best every time, learn from your mistakes and never give up

Remember … Mistakes are proof that you are trying, together everyone achieves more and always try to be the best that you can be!
